
Booking Terms and Conditions
In the following terms & conditions “the photographer” shall mean Alice Jackson trading as Alice Victoria Photography. “The client(s)” shall be those persons defined as bride and groom OR bride and bride OR groom and groom in the wedding booking. It is agreed that the following terms set out the total agreement made between the parties and that no variation or modification of this contract shall be effective unless agreed by both parties in writing.
Booking Fee / Deposit Payments
A non-refundable booking fee of a minimum of 25% of the total booking fee as well as full acceptance of these terms and conditions secures the time and services of the Photographer for the wedding. For wedding packages less than £300, a 50% deposit is required to secure the booking. All deposits are nonrefundable or transferable in the event of cancellation, it being the agreed loss suffered by the photographer due to cancellation. The booking fee will be deducted from the cost of the client’s chosen package when calculating the final balance due. Payment in full of the remaining balance will be due 30 days before the wedding date. Weddings that are postponed to a later date will retain the final fee as long as the photographer can re-schedule for the new date and time, excluding the deposit payment. If the photographer cannot re-schedule for this new date or time, the payment will be refunded excluding the deposit payment unless at the photographers’ discretion or otherwise agreed.
Please be aware that if your wedding date is less than 45 days from the booking date, the full amount is payable upon booking.
Wedding Arrangements
The details of the wedding arrangements are to be agreed beforehand in writing (email is acceptable). The Client shall notify the Photographer of any changes to these details in writing. The Photographer/s cannot be held liable for delays or disruption in their delivery of the service until any changes are received, and acknowledged in writing.
Cancellation
The Client may cancel this contract at any time by giving written notice to The Photographer/s. Cancellation less than 12 weeks before the wedding will result in a further 50% of the final payment becoming due unless already paid - deposit payments do count towards the 50% therefore a total of 75% of the total booking is required.
Cancellation less than 4 weeks before the wedding will result in 100% of the package payment to be due, unless already paid. If cancellations are made outside of this period then all paid monies, excluding the deposit payment, will be refunded to the client. All cancellations must be in writing and money can only be returned to the original payee.
Display
The client(s) hereby allow(s) the photographer to display any photograph covered by this contract and to generally promote the business in advertising, brochures, magazine articles, websites, social media, sample albums etc. unless otherwise stated in writing.
Images
All image sizes are nominal. The Photographer/s will provide a pleasing colour balance but cannot guarantee exact colour matching owing to anomalous reflectance caused by a combination of certain dyes and materials especially man-made fibres. It is sometimes impossible to record on film or digitally the exact colour as seen by the human eye. For a booking involving a church ceremony or at certain venues, the photographer’s movements are sometimes restricted by the official in charge. The area from which the photographer is able to photograph from may not be the photographer’s choice and the photographer cannot accept responsibility for any obstructed view should this be the case.
Where the booking contract (or invoice) states an unlimited number of images are to be provided, this relates to no minimal or maximum amount of images and the final amount provided by the Photographer should be deemed final. The Photographer will carefully choose which photographs best represent the occasion and will include as many as the Photographer feels are correct for the contract. The Photographer will strictly retain the right not to provide every photograph taken to the Client unless otherwise agreed in the booking contract.
Retouching
All images will be adjusted for exposure, brightness, contrast, sharpness, etc. The Photographer’s judgement regarding these corrections and the number of images put forward to the Client shall be deemed correct. Retouching, digital manipulation and artist finishing is available to the Client as an option at extra cost of £65 per hour.
Licence
The Photographer/s shall be granted artistic licence in relation to the poses photographed and the locations used. The Photographers judgement regarding the locations/poses and number of images taken shall be deemed correct. Due to the vagaries of the weather and the willingness of subjects it may not be possible to capture all the images requested.
Copyright
The copyright Designs and Patents Acts assign the copyright of the images to the photographer. Any images or copies of images whether stored digitally or otherwise and any computer program including any source or object code, computer files or printed documentation relating to such images are protected by the Copyright and Design Act 1988. It is contrary to the Act to copy or allow to be copied photographically/electronically or by any other means an image created as part of this contract without the permission of The Photographer/s in writing.
This does not mean however that the Client cannot post the photos on social media or have their own photos printed for personal use - this is allowed as long as they are not edited in any way.
Prints / Reorders
All prints and reorders shall be treated as an extension of this contract and no responsibility for error will be accepted unless orders are given in writing.
Order amendment after completion
Once the photographer has delivered/provided the images to the Client in the agreed format, the job is considered closed. Any further amendments to the job such as further editing, additional proofs or products, may become chargeable if the project is accepted by the photographer. The cost for this begins at a minimum of £65.00 and may increase depending on the requirements. This cost is to cover the photographers additional time and skill required. If further external costs are required, this will be in additional to the minimum £65.00 charge per hour.
Force Majeure or Act of God
The due performance of this contract is subject to alteration or cancellation by either party owing to any cause beyond their control. Although all equipment is checked regularly and reasonable steps are taken to ensure backup equipment is available, the photographer will not be responsible for photographs that are not produced due to technical failure.
Attendance
In the unlikely event of the assigned Photographer being unable to attend your wedding due to unforeseen circumstances, we reserve the right to appoint another photographer to attend your wedding on our behalf to undertake the wedding photography to his/her best ability. This would be communicated with the client in advance to confirm. If the Photographer is unable to do so, then a full refund (to the same amount as paid by the client or to the maximum amount of the contract, whichever is lower) will be refunded, including the deposit.
Limitation of Liability
In the unlikely event of a total photographic failure or cancellation of this contract by either party or in any other circumstance the liability of one party to the other shall be limited to the total value of the contract. Neither party shall be liable for indirect or consequential loss.
Personal Accident
Any directions issued to clients, their guests or employees during a photographic shoot are deemed to be at said persons own risk. The photographer cannot be held responsible for any personal accidents during a photographic shoot.
Governing Law
This agreement shall be governed in accordance with the laws of England and Wales.

How do I secure my booking?
To secure the date, a signed contract and non-refundable booking fee is required. Dates are not held without both in place.
How much is the booking fee?
The booking fee is the deposit. A deposit of 25-50% is due upon booking, depending on your total package value. Packages under £300 require a 50% deposit.
When is the final balance due?
The remaining balance is due 30 days before your wedding date.
Do you offer payment plans?
Yes. Flexible payment plans are available, let me know what works for you and we can arrange something manageable.
What happens if we need to cancel?
The booking fee is non-refundable as it secures your date. Any additional payments may be refundable depending on how much notice is given.
Can we reschedule our session or wedding date?
Yes, I'll always do my best to accommodate date changes subject to availability. Your booking fee can usually be transferred to a new date.
What if you are unable to attend?
In the very unlikely event I cannot attend due to illness or emergency, I will make every effort to arrange a trusted replacement photographer or provide a full refund.
How long will you stay on the day?
That depends on your package. Coverage options vary from 2 hours to 10 hours and will be clearly outlined in your booking confirmation.
Do you travel?
Absolutely - travel within 40 miles of B79 is included in your fee. Additional travel fees may incur - just ask for details.
Do you charge for travel or accommodation?
For locations beyond a certain distance, travel and/or overnight accommodation may be required. This will always be discussed upfront.
When will we receive our photos?
Preview photos are always delivered within a 7 day period, often within 48 hours.
Your full digital album is delivered within 8 weeks.
How will we receive our images?
You'll receive a private online gallery when you can download and share your photos, alternatively a direct digital transfer link can be sent to you.
How many photos will we get?
This varies depending on your session or wedding but I always deliver a carefully curated gallery telling the true and full story of your day. Typically, a 10 hour wedding will deliver between 120 - 300 photos depending on activities, guests, entertainment and group photos.
Will the images be edited?
Yes - all delivered images are professionally edited in my signature style. RAW (unedited) images are not provided.
Can we request specific shots or poses?
Absolutely! I welcome shot lists for key moments (especially family groupings) but I also work in a natural, candid, documentary style to capture genuine moments and real emotion.
What if the weather is bad?
If your session is outdoors, we can reschedule or embrace the weather. For weddings, we will do our best to make the most of the situation. I do often provide umbrellas for couples too!
Can we print and share our photos?
Yes! You'll receive personal usage rights, meaning you can print and share your images freely for personal use.
Can you use our photos on your website/social media?
I may use a selection of images for portfolio and marketing purposes, unless you request otherwise.
Do you have insurance?
Yes, I am fully insured and documents can be provided upon request.
